Writing to be cited

Persuasive text accompanies someone already reading. Quotable text stands on its own, torn from the page. You need both, and they are not the same thing.

The extraction test

Take any sentence from your site and read it out of context, without the heading above and without the sentence before. If it still says something true and specific, it is quotable. If it becomes a vague claim that could apply to anyone, it is not. It is a test you can run on a whole page in ten minutes.

If out of context the sentence could be about anyone, it will not be used.

Naming things

Systems work on entities: proper names, places, categories, numbers. Text that avoids them for elegance makes itself invisible.

  • “We operate across the region” → “We operate in Milan, Monza and Como”.
  • “Fast turnaround” → “Delivery in 15 working days”.
  • “Years on the market” → “Since 1987”.
  • “Solutions for every need” → say which, and say which not.

One question, one answer, in that order

The most machine-readable structure is banal: the question as the heading, the answer in the first paragraph, the rest below. It looks poor next to text that builds and then reveals, but it is exactly the shape a system can take and use. It also works for people in a hurry, who are the majority.

Repetition is not a flaw

In commercial writing, repetition is avoided for style. Here consistent repetition is a signal: the same information, written the same way, in different places on the site, reduces uncertainty. You do not need to repeat sentences; you need the facts not to change shape from one page to the next.

What not to do

The shortcuts that worked with search engines do not work here and sometimes do harm.

  • Hidden text, or text meant only for the machine: it is read like any other text, and if it contradicts the rest it worsens consistency.
  • Unverifiable claims — “the best in Italy” — which no system will ever report as its own.
  • Pages generated in bulk to cover query variants: they add noise to what the system has to decide on.

Should I write more plainly, then?

No: more explicitly. Explicit text can be written well. What has to go is not the style, it is the implicit that only you can reconstruct.

How long should a page be?

As long as it takes to state the facts. Length is neither an advantage nor a problem: what counts is statements per page, not words.
